1. Definitions

  • Bare Car Rental: This type of rental agreement grants the renter full legal and physical control over the vehicle. The renter assumes all responsibilities for the car’s operation, maintenance, and adherence to all traffic and safety regulations during the rental period.
  • Car(s): This term encompasses all types of vehicles provided by The Cruiser Group LLC, approved for road use and compliant with all applicable laws and regulations. Our fleet includes a variety of models suitable for different driving preferences and needs, from compact cars and sedans to SUVs and luxury vehicles.

2. Booking and Rental Process

Creating an Account

  • Registration: To access our rental services, customers must register for an account via our website. This secure account enables customers to manage their bookings, view past transactions, and receive updates and offers.
  • Privacy Assurance: All personal information entered during account creation is protected in accordance with our Privacy Policy, ensuring data integrity and security.

Service Selection

  • Custom Selection: Customers can filter vehicle options based on specific criteria such as vehicle type, rental duration, and special features. Detailed descriptions, including mileage limits, fuel policy, and additional amenities, are provided to help customers make informed decisions.
  • Availability: Real-time availability is shown for all listed vehicles. Customers can reserve a vehicle immediately or place a request for future dates.

Booking Confirmation

  • Immediate Confirmation: Once the booking process is completed, customers receive immediate electronic confirmation detailing all aspects of the rental agreement.
  • Verification: Customers must verify all details in the confirmation email and report any discrepancies to customer service immediately to ensure corrections are made prior to the rental start date.

Pre-service Communication

    • Customer Engagement: A representative will engage with the customer to review the booking details, confirm the pick-up location, discuss insurance options, and address any special requirements or adjustments needed.

3. Use of Services

Number of Drivers

  • Driver Registration: Up to two drivers can be registered per rental vehicle at no additional cost. Each driver must provide a valid driver’s license and meet age requirements.
  • Driver Verification: All registered drivers are subject to driving record checks to ensure compliance with our safety standards.

Time Rental

  • Operational Hours: Rental services are available from 9:00 AM to 8:00 PM daily. Rentals needed outside these hours can be arranged by contacting customer service in advance and may involve additional charges.
  • Late Returns: Late returns may incur fees unless preemptively arranged and approved. Fees are calculated based on extra hours beyond the agreed rental period. 

Restrictions

  • Usage Limitations: Vehicles are restricted to use within the geographic limits specified in the rental agreement. Cross-border rentals must be pre-approved and may require additional documentation and insurance.
  • Prohibited Uses: Engaging in off-road driving, participating in races, or using the vehicle for unauthorized commercial purposes is strictly prohibited. Such uses can lead to significant penalties and termination of the rental agreement.

4. Responsibilities of the Renter

  • Care and Maintenance: Renters are expected to maintain the vehicle in good condition, adhere to regular maintenance checks if applicable, and ensure the vehicle is clean and fuel levels are maintained.
  • Accident/Damage Reporting: Any accidents or damage to the vehicle must be reported immediately to The Cruiser Group LLC. A detailed report form must be completed, and appropriate photographs and documentation should be collected.
  • Tolls/Tickets: Any and all tickets or tolls obtained during your rental time period are the responsibility of the primary renter on the rental agreement.

5. Insurance and Coverage Options

Requirement for Insurance

  • Mandatory Insurance: All renters are required to have and verify their own car insurance policy that covers rental vehicles prior to booking confirmation. It is imperative for renters to ensure their insurance provides adequate coverage for the type of vehicle rented, particularly for luxury car rentals.

Verification Process

  • Insurance Documentation: Prior to the rental confirmation, renters must submit proof of their insurance coverage. Acceptable documentation may include an insurance card, policy declarations, or a letter from the insurance provider confirming the coverage extends to rental vehicles.

Vendor-Provided Insurance Options

  • Availability: While The Cruiser Group LLC does not offer its own rental insurance, some of our vendor partners may provide optional rental insurance or additional protection products. Availability and terms of these insurance options vary by vendor and location.
  • Election of Vendor Insurance: Renters have the option to purchase any available insurance or protection products offered by the vendor at the time of booking or vehicle pickup. Details regarding these options will be provided in the vehicle listing or by the vendor directly.

Handling Insurance Claims

  • Responsibility: In the event of an accident or damage, all insurance claims must be processed directly through the renter’s personal insurance provider or the vendor’s insurance if additional coverage was purchased.
  • Assistance by The Cruiser Group LLC: While claims must be handled between the renter and the insurance provider, The Cruiser Group LLC may assist in facilitating communication and providing necessary rental documentation to support the claim process.

International and State Variations

  • Compliance with Local Laws: Renters are responsible for ensuring their insurance meets the minimum requirements mandated by local laws in the country or state where the vehicle is rented. This may include liability coverage, collision coverage, and any other required forms of insurance.
  • Verification of Compliance: Renters should verify their insurance compliance with local regulations prior to renting the vehicle to avoid legal issues or lack of coverage during the rental period.

Renter’s Responsibilities Without Insurance

  • Risk of Non-Compliance: Renters who fail to provide proof of adequate insurance will not be allowed to proceed with the car rental. It is crucial that all renters comply with insurance requirements to avoid potential legal and financial liabilities.

6. Fuel Policy

Return Requirement

  • Full Tank Requirement: Renters are obligated to return the vehicle with a full tank of gas at the conclusion of the rental period.
  • Fuel Level Matching: Alternatively, renters can return the vehicle with the same fuel level as it was provided at the beginning of the rental.

Additional Fees

  • Refueling Charges: In cases where the vehicle is not returned with a full tank of gas, or at the original fuel level, additional fees for refueling may be applicable. These charges are determined based on each vendor’s policy and prevailing gas rates.
  • Fee Calculation: Typically, refueling fees consist of the cost of refueling the tank plus an additional charge, which is often around 25% of the current gas price per gallon. This surcharge covers the administrative costs and inconvenience associated with refueling the vehicle. A minimum fee of $20 will be charged for improper fuel level return, ensuring a baseline charge regardless of the amount of fuel needed. 

Transparency and Notification

  • Policy Disclosure: The fuel policy, including any potential refueling fees, is communicated to renters prior to the commencement of the rental agreement.
  • Awareness of Charges: Renters are made aware of the potential charges for improper gas return and are encouraged to review the fuel policy details provided by the vendor.

Compliance

  • Responsibility: It is the renter’s responsibility to ensure compliance with the fuel policy and return the vehicle with the appropriate fuel level as stipulated in the rental agreement.
  • Avoiding Additional Charges: Renters can avoid refueling charges by refilling the tank to the required level before returning the vehicle, or by opting for the pre-purchased fuel options if available.

Exceptions and Special Considerations

  • Policy Variations: Some vendors may have variations in their fuel policies or offer alternative arrangements such as pre-purchased fuel options. Renters should review the specific fuel policy details provided by each vendor to understand any exceptions or special considerations.

7. Age Restrictions and Special Requirements

Minimum Age Requirement

  • General Policy: The minimum age to rent a car from The Cruiser Group LLC is 21 years. Renters must provide valid identification at the time of rental to verify their age.
  • Young Driver Fee: Renters under the age of 25 may be subject to a young driver fee. This fee compensates for the increased insurance costs associated with younger drivers and varies by vehicle and rental location.

Specific Vehicle Age Requirements

  • Premium Vehicles: Some high-performance or luxury vehicles have a higher minimum age requirement of 25 years due to their high value and the increased driving skill required. These age requirements will be clearly stated on each car’s listing to ensure transparency and prevent any confusion at the time of booking.

Verification and Compliance

  • ID Verification: All renters are required to present a valid government-issued photo ID at the time of rental for age verification. Acceptable forms of ID include a driver’s license, passport, or national ID card.
  • Ensuring Compliance: It is the renter’s responsibility to ensure they meet the age requirements specified in the vehicle listing. Renting a vehicle without meeting the age requirements may result in the cancellation of the rental without a refund.

Exceptions and Considerations

  • Age Exceptions: In certain cases, exceptions to the minimum age requirement may be considered, subject to an additional insurance purchase or other qualifying criteria. These exceptions are at the discretion of The Cruiser Group LLC and must be arranged in advance.
  • Senior Drivers: There are no upper age limits for renting vehicles. However, senior drivers may be asked to provide a recent medical certificate or a statement of driving ability from a recognized authority to ensure fitness to drive, depending on local regulations.

8. Vehicle Damages

Damage Assessment Process

  • Pre-Rental Inspection: Before the vehicle is handed over to the renter, a comprehensive pre-rental inspection is conducted. This inspection involves a detailed walkthrough of the vehicle’s condition, documenting any existing damages with photographs and descriptions. Both the renter and a representative from The Cruiser Group LLC or the vendor sign off on this documentation to ensure an accurate record of the vehicle’s condition at the start of the rental period.

  • Post-Rental Inspection: Upon the vehicle’s return, a similar detailed inspection is conducted to assess the vehicle for any new damages that may have occurred during the rental period. This post-rental inspection compares the initial condition to the return condition, identifying any discrepancies or new damages.

Documentation of New Damages

  • Reporting New Damages: If new damages are identified during the post-rental inspection, a damage report is compiled detailing the nature and extent of the damages. This report includes photographs, a description of the damage, and an initial estimate of repair costs.

  • Renter Notification: The renter is promptly notified of any new damages found, provided with copies of the damage report, and given a detailed explanation of the findings. This notification process ensures transparency and provides the renter with an opportunity to discuss the findings if there are any discrepancies or disagreements.

Financial Responsibility

  • Charges for Repairs: Charges for repairs are assessed based on the extent of the damage and the current repair costs associated with returning the vehicle to its original condition. This assessment is conducted by qualified professionals who ensure that the repair costs are fair and in line with industry standards.

  • Billing Process: Once the repair costs are finalized, an itemized bill is sent to the renter outlining all charges related to the damage repair. Payment terms, including due dates and acceptable payment methods, are clearly stated.

  • Insurance Claims: If the renter has an applicable insurance policy that covers the damages, The Cruiser Group LLC or the vendor will provide all necessary documentation to assist the renter in filing a claim with their insurance provider. It is the renter’s responsibility to initiate and follow through with the insurance claim.

Dispute Resolution

  • Dispute Handling: In the event of a dispute over damage assessments or repair charges, The Cruiser Group LLC provides a formal process for dispute resolution. Renters can submit their disputes in writing, providing evidence or documentation to support their case. Each dispute is reviewed on a case-by-case basis, and efforts are made to resolve the issue amicably and fairly.

  • Final Decision: If a resolution cannot be reached through direct negotiation, further mediation may be suggested, or the renter may be directed to follow legal channels as outlined in the rental agreement.

9. Illegal Substances and Activities

  • Zero Tolerance Policy: The use of the vehicle for illegal purposes, including but not limited to the transport of illegal substances, is grounds for immediate contract termination and legal action. Renters found in violation will forfeit all rental fees and deposits.

10. Cancellation Policy

Flexible Cancellation Options

Advance Cancellations

  • No Penalty Period: Renters can cancel their reservation up to 7 days before the scheduled start time of the rental without incurring any penalty. This allows flexibility for changes in travel plans and minimizes the financial burden on the renter.
  • How to Cancel: To cancel a reservation, renters must log into their account on The Cruiser Group LLC’s website, select the booking they wish to cancel, and follow the prompts to cancel the booking. Alternatively, renters may contact our customer service directly via phone or email to process the cancellation.

Late Cancellations

  • Cancellation Fee: If a cancellation is made within 7 Days of the rental start time, a cancellation fee will be charged. This fee is equivalent to the cost of one full day’s rental, or the entire rental charge for shorter trips, to compensate for the potential loss of rental opportunity and the costs associated with the late cancellation.
  • Notification: Renters are encouraged to notify The Cruiser Group LLC and the Vendor as soon as possible if they anticipate the need to cancel a booking within the 7-day window. The sooner we are informed, the more we can do to mitigate the fees where possible.

Special Circumstances

  • Extenuating Circumstances: We understand that sometimes there are unforeseeable events that may necessitate last-minute cancellations. In cases such as sudden illness, family emergencies, or severe weather conditions that impact travel plans, The Cruiser Group LLC will review cancellation fees on a case-by-case basis.
  • Documentation Requirements: Renters may be required to provide documentation (e.g., medical records, death certificates, proof of flight cancellation) to support claims of extenuating circumstances. The Cruiser Group LLC reserves the right to waive the cancellation fee based on the evidence provided.

Vendor-Specific Policies

  • Vendor Variations: Some vehicle vendors partnered with The Cruiser Group LLC may have their own cancellation policies that differ from ours. In such cases, the specific terms set by the vendor will apply. Renters are advised to review the vendor-specific cancellation policies before completing their bookings.
  • Policy Access: Vendor-specific cancellation policies can be found on the vehicle listing page under the terms and conditions section. Renters should familiarize themselves with these details to avoid any surprises in the event of a cancellation.

11. Weather-Related Cancellation Policy

  • Severe Weather Conditions: In the event of severe weather, such as hurricanes or flooding, which can impact safe vehicle operation, The Cruiser Group LLC or its Vendors reserves the right to cancel reservations. Customers affected by such cancellations will be offered a full refund or the option to reschedule.

12. Roadside Assistance and Breakdown Policy

Vendor Responsibility

  • Provision of Services: Roadside assistance for rental vehicles is provided directly by the individual vendors who list their vehicles with The Cruiser Group LLC. Each vendor is responsible for ensuring that comprehensive roadside assistance is available for renters during the rental period.

Availability and Scope of Services

  • Vendor-Specific Services: The scope and availability of roadside assistance may vary depending on the vendor and the specific terms of their policy. Common services typically covered include:
    • Towing
    • Flat Tire Replacement
    • Battery Jump-Start
    • Lockout Service

Accessing Roadside Assistance

  • Contact Details: Upon rental, renters will receive information on how to contact the appropriate roadside assistance provided by the vendor. This information will be clearly stated in the rental agreement and included within the vehicle.
  • Vendor Hotline: Renters should use the dedicated hotline number provided by the vendor for any roadside assistance needs.

Vendor Policies

  • Diverse Policies: Renters are advised to review the roadside assistance policy specific to the vendor from whom they are renting. This review should occur before finalizing the rental to understand the coverage and any potential charges for services that might not be covered under standard assistance.
  • Documentation Provided: All necessary information regarding roadside assistance, including procedures, contact numbers, and any limitations to the coverage, will be provided by the vendor at the time of rental.

Responsibilities and Liabilities

  • Renter’s Obligations: Renters are responsible for understanding and complying with the roadside assistance policy provided by the vendor. This includes knowing how to access services and what costs might be involved for non-covered services.
  • Vendor’s Liabilities: The individual vendor, not The Cruiser Group LLC, is liable for the execution and quality of the roadside assistance services. Issues or disputes related to roadside assistance should be directed to the vendor according to the terms provided at the time of rental.

Reporting and Feedback

    • Incident Reporting: Renters are encouraged to report any issues with roadside assistance to both the vendor and The Cruiser Group LLC. This feedback helps monitor vendor performance and overall renter satisfaction.
    • Quality Improvement: The Cruiser Group LLC regularly reviews vendor performance, including the effectiveness of their roadside assistance services, to ensure high standards are maintained.

13. Acceptance

  • Policy Acknowledgment: By proceeding with a vehicle rental from The Cruiser Group LLC, you acknowledge having read, understood, and agreed to all the terms outlined in this Car Rental Policy. Your booking and use of our vehicles signify your acceptance of these terms.
